Job Description
Under the direct supervision of the Senior Director of Administrative Services, with considerable latitude for initiative and exercise of judgment, the Senior Administrative Assistant performs confidential and difficult work for EITS Senior Leadership. The selected candidate will perform administrative and operational support for C-Suite executives involved in the development, implementation, and executive management of programs and policies for NYC Health + Hospitals.
Duties & Responsibilities
- Provides senior level administrative support and coordinates activities for EITS Senior Leadership that are highly confidential and sensitive in nature.
- Serves as liaison between Senior Executive staff and other Executives and Officials within the Corporation, external offices and/or agencies.
- Responsible for maintaining the calendar and informing senior staff of all appointments and conferences.
- Responsible for preparing and editing correspondence and confidential reports for EITS Senior Leadership. This may include taking minutes of proceedings, conferences and meetings.
- Participates in and/or relieves health care executives of administrative duties, and performs the usual duties of a secretary acting in a highly responsible capacity requiring knowledge of NYC Health + Hospitals’ policies, practices, and procedures.
- Assists with the preparation of presentation materials.
- Preparing purchase orders
- Processing and monitoring payment of departmental invoices
- Perform other duties as directed
- Participates in training programs to acquire knowledge of H+H’s operations.
Minimum Qualifications
- a. High School Diploma or equivalent and five years of clerical experience including two years as a stenographic secretary; or,
b. A Baccalaureate Degree from an accredited college or university and one year experience as a stenographic secretary; or,
c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.
- The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters.
- High level verbal, written and secretarial skills and knowledge required; or,
- A satisfactory combination of education, training and experience.

- Experience in support services and/or vendor relations
- Office management skills
- Demonstrates excellent verbal, written, and interpersonal communication skills.
- Strong analytical, organizational and problem-solving abilities, with keen attention to detail.
- Three or more years of high level clerical/administrative experience, one year of which as an Executive Assistant to a C-Level officer
